The Speaker Coordinator is responsible for the orchestration of HIMSS EMEA conferences and events – live, digital or hybrid - including speaker management prior, during and after the event. The position plays an active role in our in-person and digital content production, reports to the Senior Director of Content and Programming – EMEA and works closely with our Production, Fulfilment and Finance teams.

 

This is a full-time, remote-working position with occasional travel to conferences a few times a year, mainly but not limited to the EMEA region. Responsibilities:

  • Serve as a liaison for confirmed speakers and moderators, answering administrative questions and collecting speaker information in a timely manner - including presentation titles, speaker photographs/biographies and special AV requirements.
  • Use HIMSS speaker management platform to onboard speakers and update the programme.
  • Keep our conference websites/apps up to date with the latest programme and speaker information.
  • Update HIMSS EMEA teams regularly with the latest information about the programme.
  • Support the conference team with calls for speakers/case studies
  • Arrange conference calls/online meetings for session preparation
  • Provide Administrative Support to event Programme Committees
  • Maintain a log of our agreement with every speaker and when necessary
  • Arrange speaker travel and accommodation.
  • Collect speaker travel and accommodation receipts after the event, raise Purchase Orders, and work with finance to get any travel costs or honorarium paid in a timely manner.
  • Use HIMSS speaker management platform to continue building our talent database and run queries for the HIMSS International content team when needed.

What you will need to be successful:

  • BA/BS degree or relevant practical experience.
  • A native English speaker with strong communication skills, the candidate needs to be able to interact with high-level speakers and experts.
  • Proficient with Microsoft Office suite and able to rapidly learn other online tools. Self-starter, detail-oriented, and able to prioritise in a fast-paced, multi-project environment. Alignment with HIMSS mission – interest in health and care or other public policy area
  • Experience or strong interest in content creation
  • Optional skills – experience with any of the following would be useful:
    • EventsAir event management software
    • NetSuite financial management software
    • OpenWater event software
